Job Description
Leone, McDonnell & Roberts, PA is seeking a friendly, outgoing, experienced, and detail-oriented individual to join our Dover administrative team as a Front Office Administrative Assistant. This full-time, in-person position plays a key role in supporting daily office operations while ensuring professional and welcoming experience for clients, vendors, and team members. While full-time hours are preferred and daily availability is required from January through April, flexible scheduling arrangements may be considered outside of the firm's busy season, subject to business needs. Key Responsibilities Responsibilities include, but are not limited to: Answer and direct incoming phone calls, serving as a primary backup to reception. Greet clients and vendors and assist with front desk responsibilities as part of the reception backup role. Collate tax returns and financial statements. Maintain both physical and electronic filing systems. Process incoming and outgoing mail. Print, copy, scan, and distribute documents as needed. Maintain document tracking logs and records. Monitor office supply inventory and place orders when necessary. Provide general administrative support to team members and departments. Assist with special projects and additional duties as assigned. Qualifications A minimum of two (2) years of experience in an office or administrative setting. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. Working knowledge of Adobe Acrobat is preferred. Excellent verbal and written communication skills. Exceptional attention to detail, accuracy, and organizational skills. Ability to work independently with minimal supervision while also collaborating effectively within a team environment. Self-motivated and resourceful, with the ability to take ownership of responsibilities, learn new processes, and proactively identify opportunities to support the team and office operations. Strong time management skills, with the ability to prioritize multiple tasks and meet deadlines. A positive attitude, strong work ethic, and willingness to learn firm-specific software applications, including CCH products. Ability to maintain confidentiality and exercise discretion when handling sensitive client and firm information.
