Job Description

Job Overview We are looking for a reliable, detail-oriented Admin Assistant to join our team at a busy property maintenance company. This role supports day-to-day office functions and ensures efficient coordination between our technicians, vendors, and tenants. The ideal candidate is highly organized, has excellent communication skills, and thrives in a fast-paced environment.
Responsibilities:
Enter and track employee hours worked on various projects for payroll and billing Communicate with vendors and suppliers to order appliances and materials and manage delivery timelines Maintain accurate time and material records for invoicing purposes Review, approve, and track vendor invoices and company credit card charges Answer phones and respond to email requests for maintenance work orders Provide excellent customer service to tenants, property caretakers and vendors Order office and shop supplies Assist with general office administrative tasks as needed Maintain excel spreadsheets for current building projects
Qualifications:
Strong data entry and recordkeeping skills with a high level of accuracy Excellent verbal and written communication skills Ability to multitask, prioritize work, and meet deadlines Proficient in Microsoft Office (Excel, Outlook, Word) and general office software Strong customer service mindset and professional demeanor
