Job Description

Job Summary Join our dedicated Police Department team as an Administrative Assistant, where your organizational skills and proactive attitude will play a vital role in supporting daily operations. In this dynamic role, you will manage administrative tasks, handle communication channels, and ensure the smooth functioning of department activities. Your attention to detail and ability to juggle multiple responsibilities will help foster an efficient and responsive environment for both staff and the community we serve. Duties Receive requests for police assistance. Ascertain nature of request and dispatches appropriate service unit in accordance with established procedure. Determine urgency of call and elicit necessary information from the caller. Exercise tact and judgment in dealing with emergency situations; relay and receive further instructions from personnel at emergency scene. Take preliminary reports of crimes, incidents or requests for police service from people making inquiries at the police station. Disseminate information concerning wanted persons, stolen vehicles, missing persons and other information as may be received by telephone or other means. Maintain records of all incoming calls and dispatches through various logs and reports. Distribute department mail. Maintain Department's filing system; maintain reference file of correspondence, memoranda, pistol permits, and a variety of other materials. Compile statistics for department reports. Type a variety of correspondence, memoranda, forms and reports. Type materials in final form assuring spelling, grammar and punctuation are correct. Serve as a matron for female prisoners as needed and only if applicable training has been conducted. Prepare/track bills or record payment both manually and electronically. Ensure proper documentation of monies received into the police department and such money shall be forwarded to the Town Office Work hand in hand with Regional Prosecutor; copy case files; assist with sending discovery to defendants and attorneys; complete necessary subpoenas at the request of prosecutor and/or county attorney; complete JV petitions. Perform other related duties as required.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Working knowledge of principles involved in the operation of the radio, telephone and related communications equipment. Knowledge of operations of the police department. Knowledge of business English, spelling, arithmetic, and vocabulary. Thorough knowledge of and proficiency in the use of Microsoft 365 core productivity apps (like Word, Excel, and PowerPoint). Ability to use computers and computer aided technology (software/hardware/peripheral items). Ability to prepare accurate and complete reports, with the ability to reconcile financial invoices and revenue within police operating budget. Ability to maintain accurate records and files. Ability to speak clearly and concisely. Ability to think and act quickly, calmly and accurately in emergency situations. Ability to type accurately at a reasonable rate of speed. Ability to understand and follow complex oral and written instructions. Ability to establish and maintain effective working relationships with other departments, employees and the general public. Ability to work without direct supervision and exercise initiative. Ability to maintain confidentiality of investigations and corresponding involved evidence. Qualifications Proven office management or administrative experience in a fast-paced environment, preferably within law enforcement or government agencies High school diploma or GED equivalent from an accredited state board of education. One (1) year of post high school education with course work in accounting, bookkeeping, math, secretarial science, or one year of police science or closely related course work. Minimum one (2)year of work experience in an office as a typist, secretary, or related area or one (1) year of work experience in a law enforcement agency as a Corrections Officer, public safety dispatcher, Law Enforcement Officer, or related area. Sufficient experience to understand the basic principles relevant to the primary functions of the job usually associated with a minimum of one (2) year of responsible secretarial and clerical experience in an office setting. Experience with office equipment and basic computer functions, or any equivalent combination of education and experience which demonstrated possession of the required knowledge, Skills & Abilities. A valid NH driver's license. Must become certified as a NH Justice of the Peace within six (6) months of hire. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional communication skills, including phone etiquette and client interaction, both in person and via phone systems Experience handling confidential information with discretion and professionalism Demonstrated clerical skills such as data entry, filing, proofreading, and typing accuracy Personal assistant experience or customer service background is a plus for supporting department staff seamlessly This role offers an exciting opportunity to contribute to public safety efforts while developing valuable administrative expertise. Pay:
$25.00 - $26.00 per hour
