Job Description
Key Responsibilities:
Clerk/Registrar Department Support- Answer incoming telephone calls in a professional and courteous manner and direct calls to the appropriate department or staff member.
- Assist residents and members of the public at the Clerk's Office service window.
- Provide general information and assistance to residents and visitors within the scope of the position.
- Provide general clerical and administrative support to the Municipal Clerk and Registrar of Vital Statistics.
- Assist with the processing and issuance of dog licenses in accordance with applicable Township procedures and requirements.
- Assist with maintaining dog licensing records and related documentation.
- Provide administrative and logistical support during the Township's annual Spring Rabies Clinic.
- Assist residents with general questions regarding dog licensing and rabies clinic procedures and direct inquiries to the appropriate staff member when necessary.
- Assist with the preparation, organization, copying, and distribution of Township meeting packets.
- Assist with assembling documents and materials required for Township Committee and other municipal meetings.
- Assist with filing, scanning, copying, data entry, document organization, and other routine clerical functions for the Clerk/Registrar Department.
- Assist with maintaining an organized and professional front office environment.
- Provide administrative support for Clerk/Registrar projects, events, programs, and other departmental activities as assigned.
- Perform other related duties as assigned by the Municipal Clerk or Registrar. Zoning/Housing Department Support
- Manually upload Zoning/Housing Excel spreadsheet data and supporting documentation into the Enforcer program and any other software programs utilized by the Zoning/Housing Officer.
- Cross-reference information contained in Excel spreadsheets with records maintained in the Enforcer program.
- Identify discrepancies, duplicate entries, missing information, or other data inconsistencies and perform necessary data cleanup to ensure accuracy and completeness.
- Work closely with the Zoning/Housing Officer to upload and maintain Lead-Free and Lead-Safe Certificates in the Enforcer program.
- Assist with organizing, reviewing, and maintaining electronic and digital Zoning/Housing records.
- Complete data entry and other related tasks necessary to support the successful migration of records and implementation of system updates.
- Assist with identifying and correcting errors or incomplete records during the data migration process.
- Maintain accuracy and consistency of information across applicable Township databases and software systems.
- Perform other data management and project-related duties as assigned. Public Works Administrative and Project Support
- Provide administrative and project support to the Public Works Foreman.
- Assist with organizing, maintaining, and updating records, forms, spreadsheets, and other administrative documents.
- Assist with data entry, filing, correspondence, and other clerical functions related to Public Works operations.
- Provide administrative assistance with special projects and departmental initiatives as assigned. Mail Distribution, Filing and Departmental Support
- Receive and distribute incoming Township mail to the appropriate departments and personnel.
- Assist Township departments with the filing, organization, scanning, and maintenance of records and documents.
- Provide administrative assistance with large-scale mailing projects, including preparing, sorting, organizing, labeling, stuffing, and distributing outgoing mailings.
- Provide filing and mass mailing support to the Tax Collector, Tax Assessor, Public Works, and Zoning Departments as needed.
- Assist with the preparation and distribution of tax notices, assessment-related correspondence, Public Works notices, zoning correspondence, and other departmental mailings.
- Assist departmental staff with organizing mailing materials, verifying mailing lists, preparing envelopes, and ensuring that mailings are properly sorted and distributed.
- Maintain accurate and organized filing systems for documents and correspondence in accordance with established Township procedures.
- Assist with the organization and routing of departmental correspondence and other materials.
- Maintain confidentiality and exercise appropriate care when handling Township records, tax information, assessment records, zoning records, and other sensitive correspondence. Convenience Center Passes
- Issue passes for use of the Township's Convenience Center in accordance with established Township procedures.
- Verify information and maintain appropriate records related to the issuance of passes.
- Provide residents with general information regarding Convenience Center pass procedures and direct questions outside the scope of the position to the appropriate Township staff member. General Township Support
- Perform miscellaneous clerical, administrative, data entry, and project-related tasks as assigned.
- Provide temporary or supplemental administrative support to Township departments as operational needs arise.
- Work cooperatively with Township officials, department heads, employees, and members of the public.
- Maintain accurate, organized, and up-to-date records.
- Protect confidential and sensitive Township information and records.
- Follow established Township policies, procedures, and administrative practices.
Qualifications Required:
- Associate's Degree
- 2+ years of administrative, clerical, or customer service experience
- Strong organizational and time management skills with attention to detail
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort learning municipal software
- Excellent verbal and written communication skills
- Ability to handle sensitive information with professionalism and confidentiality
Preferred:
- Experience working in municipal government, zoning, planning, or clerical/legal office
- Knowledge of NJ municipal procedures, record retention, or permitting systems Background check and drug testing is required for employment

This position is in-person ONLY . Remote work is not available.Compensation & Benefits Hourly Rate:
$16 - $17 per hour, commensurate with experienceBenefits:
Earned Paid Sick Leave. For every 30 hours worked, an employee shall accrue 1 hour of sick leave, up to 40 hours per calendar year. No paid vacation or medical benefits.
