The Advancement Project Manager must be detail-oriented, an excellent communicator, and have technological expertise to manage multiple databases. The Advancement Project Manager will also assist the President's office in managing associated projects. This position reports directly to the President.
Duties and Responsibilities:
Admissions Office:
Student Applicant Files:
Download applications Create student application files Print records and file Import grades & HSPT data into RenWeb Send and accept records requests to/from grade schools
Guest Days:
Guest Day check-in / out Stuff Guest Day folder materials Guest Day scheduling adjustments Guest Day reminder emails Print Guest Day address labels for G&W student follow-up
Database Management:
Manage data input to
FACTS SIS
for all admissions prospects and applications Track all attendance at admissions events in the database Manage data imports and check for consistency and accuracy Import new prospect data into
FACTS SIS
Manage the admissions email lists and update regularly Manage collection of all incoming student data and records
Admissions Events:
Assist in preparation of all admissions events by ordering food, preparing materials, and ordering supplies
Communications:
Assist in the preparation of all admissions mailings Manage the admissions email Assist families who will call school for admissions needs
Development/Alumni Office:
Database Management Maintain In Memoriam spreadsheet and update the alumni database Ongoing data entry & clean-up (updating emails, adding new constituents, establishing connections in RE, etc) Communications Send condolence cards for alumni death announcements Pull weekly gift lists in RE and prepare donor acknowledgement letters Mail thank you cards Provide event-related assistance for alumni and donor events Provide technical support in managing the Ad and Patron Drive for the spring musical, including monitoring the Ad Drive inbox, following-up with sponsors, and updating smarts Update Hallway Bulletin Boards and display case regularly Other duties as assigned by the President.
Qualifications:
(Education/Training and Experience Required) Practicing Catholic High school diploma or equivalent. Previous experience in customer service or as an administrative assistant (6 months). Must be flexible and able to handle constant interruptions and be open to helping other offices as needed
Skills:
Strong commitment to Catholic school education Excellent written and oral communication skills. Strong organizational skills, work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals. Strong motivation skills. Ability to work productively and positively with staff, students, parents, alumni, and community. Willing to work school events in the evening and on weekends. Must be attentive to details and have the ability to manage several projects at once. Ability to work autonomously without extensive oversight or direction and work independently. Proficient in Microsoft Office Suite and Google Suite. Excellent technological skills and ability to learn and become proficient in different computer programs
