Job Description

Responsibilities Provide administrative and clerical support to attorneys and legal staff Assist with the preparation, review, proofreading, and organization of legal documents, pleadings, discovery responses, and correspondence File documents with courts, agencies, and other entities through electronic filing systems and traditional filing methods Maintain and organize client files, case records, and document management systems Handle incoming and outgoing correspondence, including emails, certified mail, and overnight deliveries Prepare mailings, maintain proof of service records, and track delivery confirmations Conduct data entry and update case management systems with client and case information Assist with scheduling attorney calendars, client meetings, court appearances, and deadlines Communicate professionally with clients, courts, opposing counsel, and third-party vendors Answer and direct telephone calls and provide general office support Assist with client intake and the collection of necessary documentation Perform basic legal research and gather supporting documents as directed by attorneys Scan, copy, organize, and maintain both physical and electronic records Assist with bilingual communication and document translation when applicable Order office supplies and help maintain an organized office environment Maintain strict confidentiality of client and case-related information Perform additional administrative and paralegal support duties as assigned Qualifications & Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Strong organizational skills with the ability to manage multiple deadlines and priorities Excellent written and verbal communication skills Experience with document preparation, filing, proofreading, and record management Familiarity with court filing systems and legal procedures preferred Experience with case management software is a plus Knowledge of QuickBooks or similar bookkeeping software is preferred Strong attention to detail and ability to maintain accuracy in legal documents Professional phone etiquette and customer service skills Bilingual (English/Spanish) preferred Ability to work independently and as part of a team Previous experience in a law office, legal support, paralegal, or administrative role preferred Reliable transportation required

$20.00 - $25.00 per hour
