Job Description

Community Grants, Planning & Housing (CGP&H) is seeking a full-time Office Administrative Coordinator. This position will be part of a dynamic team implementing a wide range of affordable housing initiatives and grant securing efforts throughout the state of New Jersey and Eastern Pennsylvania. We hope to find someone who genuinely enjoys juggling duties large and small to provide the support required to make our company run smoothly. We are especially interested in candidates with strong computer skills, specifically in Word, Excel, Outlook, Adobe PDF, and cloud-based software such as Salesforce. This position would sit at the front of the office and greet the occasional visitor; therefore, professionalism and a pleasant demeanor are important.

A positive and self-motivated team member who enjoys working collaboratively with others A friendly detailed communicator who is driven by a desire for excellent customer service A detail-oriented individual who can consistently, quickly and efficiently work with standard office computer software A reliable achiever who takes ownership of responsibilities and can meet high expectations in a fast-paced environmenlls What our Office Administrative Coordinator would do : Proven experience in office management or administrative roles with strong organizational skills Supplies inventory ordering and stocking Provide general administrative support to ensure the efficient day-to-day operation of the office Mail processing including distributing mail, scheduling couriers, and file transfers Processing and recording bank deposits Transmitting via email or mail roughly 200 invoices a month Coordinating with clients to pay bills, including following up on unpaid bills Formatting MS Word documents with graphics and charts Using MS Word for mailings, including printing labels and mail merge Data entry and tracking activities using Salesforce General paper and electronic filing, scanning, shredding, etc. Maintain shared office spaces, including the kitchen, conference rooms, and common areas, ensuring a clean, organized, and professional work environment Performing special projects and assignments for the different client services departments What our expectations are for the ideal candidate: Prior experience in high volume customer service and office environment Excellent computer skills including Word, Mail Merge, Outlook, and Excel Excellent communication and customer service skills Well organized, detailed-oriented and able to multi-task Self-directed and able to work with minimal supervision and in a team environment Other experience that would make you great at this job (but not required): Bi-lingual Spanish communication and translation skills Salesforce experience, or experience in a similar CRM system We offer full benefits packages available for full time employees after 90-day probation period, including major medical, pre-tax flexible spending account (FSA) for medical expenses, a matching 401k program, life insurance, vision care and more.
