Job Description
We are looking for an organized and proactive Administrative Assistant to support day-to-day business operations in Rockaway, New Jersey. This contract position with potential for a permanent role is ideal for someone who enjoys balancing office coordination, scheduling support, and general administrative work in a fast-paced environment. The person in this role will help keep operations running smoothly by managing priorities, handling communication, and assisting with both business and occasional personal support tasks.
Responsibilities:
- Coordinate annual commercial insurance renewals by working closely with brokers, tracking timelines, and gathering required documentation.
- Support daily office operations by maintaining supplies, arranging service needs, and ensuring shared equipment remains functional and available.
- Manage calendars, schedule meetings, reserve conference space, and help organize internal gatherings and company events.
- Provide front-desk and administrative support, including answering inbound calls, greeting visitors, and responding to routine requests.
- Handle data entry, maintain organized records, and prepare administrative documents with accuracy and attention to detail.
- Assist leadership with general administrative assignments and occasional personal support tasks as needed.
- Follow up on insurance-related items to help ensure timely responses, renewals, and policy administration.
- Contribute to an efficient office environment by monitoring administrative workflows and addressing day-to-day support needs.
- Experience in an administrative assistant, office support, receptionist, or similar role.
- Ability to manage calendars, meetings, and multiple priorities with strong organizational skills.
- Comfortable handling inbound calls, routine correspondence, and day-to-day office communication.
- Proficiency in administrative tasks such as data entry, document management, and record keeping.
- Strong attention to detail and ability to follow through on time-sensitive assignments, including insurance-related coordination.
- Capable of working independently while also supporting executives and collaborating with internal teams.
- Clear communication skills and a service-oriented approach to office support.
- Familiarity with general office management responsibilities, including supplies, facilities coordination, and equipment oversight.
