Job Description

Join our dynamic team as an Office Assistant and become the backbone of our daily operations! This vibrant role offers an exciting opportunity to support office management, must possess excellent organizational skills, and enjoy providing exceptional customer service. Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, directing calls efficiently and courteously while providing accurate information. Handle data entry tasks using computer skills in Microsoft Office, maintain accurate records. Organize and file documents systematically, ensuring easy retrieval and compliance with company standards. Assist with calendar management and appointment scheduling to keep office activities running smoothly. Support bookkeeping tasks including invoicing, billing, and basic financial record keeping. Provide general clerical support such as proofreading documents, managing correspondence, and supporting office management initiatives. Maintain office supplies inventory and coordinate with vendors to ensure seamless daily operations. Deliver excellent customer support via phone or in person by practicing professional phone etiquette and active listening. Support special projects like proofing reports or preparing presentations to enhance overall office productivity. Must Have Billing Experience, with CPT Codes and Diagnosis Codes for Insurance Billing Verifications. Proven office experience or administrative background demonstrating strong organizational skills. Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Excellent communication skills:
Bilingual ability is a plus for serving diverse clients. Previous roles involving front desk duties, medical or dental receptionist experience, or personal assistant responsibilities are advantageous. Strong typing skills with high accuracy; proficiency in data entry and proofreading tasks. Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment. Knowledge of multi-line phone systems, office management procedures, and customer service best practices enhances success in this role.
