Job Description
Administrative Assistant (Preferred Bilingual English/Spanish)Position Overview We are seeking a highly organized and detail-oriented Administrative Assistant with experience in kitchen design and a strong understanding of cabinetry manufacturing . The ideal candidate will support daily office and operational functions while serving as a key communication link between management, production teams, designers, and clients. This role requires excellent organizational skills, the ability to manage multiple priorities in a fast-paced warehouse environment, and fluency in both English and Spanish. Key Responsibilities Prepare, review, collect, and follow up on daily, weekly, and monthly operational reports to keep the Director informed. Track department performance, safety updates, staffing needs, vacation requests, and other operational concerns for Director review. Manage the Director's calendar, meeting schedules, reminders, and schedule changes to ensure efficient time management. Attend management and leadership meetings, record accurate meeting minutes, and follow up on assigned action items. Communicate with managers across departments to gather information, coordinate updates, and support daily operations. Create, maintain, and improve reports, workflows, and tracking systems using Asana, Microsoft Teams, Microsoft Excel, Microsoft Word, and other company software. Walk the warehouse regularly to gather operational updates, identify follow-up items, and facilitate communication between English- and Spanish-speaking employees and management. Assist with administrative tasks related to production, scheduling, and operational coordination. Support continuous improvement initiatives by identifying opportunities to streamline administrative processes. Maintain confidentiality while handling sensitive company and employee information. Preferred Qualifications Previous experience as an Administrative Assistant, Executive Assistant, Operations Coordinator, or similar administrative role. Experience in kitchen design, cabinetry manufacturing, or the woodworking industry preferred. Strong understanding of cabinetry terminology, kitchen layouts, measurements, materials, and custom cabinet construction. Bilingual in English and Spanish, with the ability to translate meetings, daily communications, work instructions, and written reports. Proficiency with Microsoft Office (Excel, Word, Outlook) Excellent organizational, time management, and follow-up skills. Strong written and verbal communication skills. Ability to prioritize multiple tasks and consistently meet deadlines. Professional, dependable, and proactive work ethic. Comfortable working in both an office and warehouse environment and interacting with employees at all organizational levels.
