The Guidance Department Administrative Assistant plays a vital role in supporting the daily operations of the school's Guidance Department. This position requires a friendly and welcoming presence to ensure students, families, and staff feel supported and valued. The ideal candidate will demonstrate strong organizational skills, effective communication abilities, attention to detail, and proficiency with technology applications to help the department run smoothly.
Key Responsibilities:
Serve as the first point of contact for the Guidance Department, creating a positive and welcoming atmosphere for students, parents/guardians, staff, and visitors. Support counselors with scheduling student appointments, managing calendars, and coordinating meetings with families and external partners. Maintain accurate records and files related to student services, ensuring confidentiality and compliance with school policies. Assist with the management and use of technology platforms such as Google Workspace (Docs, Sheets, Forms, Calendar) and Naviance for college/career planning, reporting, and communication. Prepare and distribute correspondence, newsletters, and other communications on behalf of the department. Handle data entry, generate reports, and support tracking of student progress as needed. Coordinate the preparation of materials for counseling programs, events, and presentations. Collaborate effectively with counselors, teachers, administrators, and external agencies to support student success. Perform other duties as assigned by the school administration to ensure the efficient operation of the Guidance Department.
Qualifications:
High school diploma or equivalent required; post-secondary coursework or administrative certification preferred. Prior experience in a school setting or office environment preferred. Proficiency with Google Workspace (Docs, Sheets, Calendar, Forms), Naviance (or willingness to learn), and other common office software. Strong communication skills, both verbal and written, with the ability to interact professionally with diverse audiences. High level of accuracy and attention to detail in all tasks. Ability to manage multiple priorities, work independently, and collaborate as part of a team. Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion. Physical and Mental Demands, Work Hazards Work in standard office and school building environments. Ability to work outdoors during outdoor student activities.

Qualifications Profile Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to: High School diploma, Bachelor's degree, or equivalent. Prior successful clerical experience required. Experience working in a school counseling office preferred.
