Job Description

Job Overview We are seeking a dynamic and detail-oriented Construction Administrative Assistant to join our team! This vital role supports our construction projects by managing administrative tasks efficiently and ensuring smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will serve as the first point of contact for clients, vendors, and team members, helping to foster a professional and welcoming environment. Your proactive approach and strong office management skills will contribute significantly to the success of our projects and overall company operations. Responsibilities Manage front desk duties, including greeting visitors and directing them appropriately Answer multi-line phone systems promptly with professional phone etiquette Maintain accurate records through data entry, filing, and document proofreading Schedule and coordinate meetings, appointments, and calendar management for project teams Handle correspondence via email, Google Workspace tools, and other communication platforms Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries Assist with office management duties including supply inventory, filing systems, and general clerical support Provide excellent customer service by addressing inquiries efficiently and courteously Support project documentation by organizing files and maintaining project logs Requirements Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively Experience with data entry, filing systems, proofreading, and document management Familiarity with multi-line phone systems and phone etiquette standards Bilingual abilities are a plus to assist diverse client needs Previous experience in construction or related industries is advantageous but not required Strong time management skills with the ability to prioritize tasks efficiently Personal assistant or medical/dental receptionist experience is beneficial for understanding client interactions Join us as a Construction Administrative Assistant to be an essential part of our vibrant team!
