We're looking for a highly organized, detail-oriented Administrative Assistant who enjoys working with people, solving problems, and helping multiple departments stay organized and efficient. Position Summary As an Administrative Assistant, you'll play a vital role in supporting the daily operations of our headquarters. This position works closely with Executive Management while serving as a liaison between our Accounting, Customer Service, Data Management, Legal, Operations, Project Management, IT, Human Resources, and Field Operations teams. Success in this role requires excellent communication, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities Provide administrative support to Executive Management and department leaders. Coordinate communication and workflow between Accounting, Customer Service, Data Management, Legal, Operations, Project Management, IT, Human Resources, and Field Operations . Assist the Accounting department with invoices, purchase orders, expense documentation, vendor records, and administrative support. Support the Customer Service team with correspondence, scheduling, project documentation, and customer communications. Work with the Data Management team to organize reports, project documentation, quality control records, and data requests. Provide administrative support to the Legal team by organizing contracts, compliance documents, bid documentation, corporate records, and confidential files. Coordinate with Operations staff regarding scheduling, manpower, logistics, project documentation, fleet records, and field support. Prepare professional reports, presentations, meeting minutes, proposals, and company correspondence. Schedule meetings, conference calls, travel arrangements, and company events. Maintain organized electronic and physical filing systems. Assist with proposal preparation, contract administration, and bid submissions. Support recruiting efforts, onboarding paperwork, and employee records. Order office supplies and assist with general office administration. Handle confidential information with discretion and professionalism. Perform other administrative duties as assigned to support company operations. Qualifications Administrative Assistant, Executive Assistant, Office Administration, or related experience preferred. Strong organizational and multitasking skills. Excellent written and verbal communication abilities. Professional phone and email etiquette. High attention to detail and accuracy. Ability to work independently while supporting multiple departments. Positive attitude with a willingness to learn and adapt in a fast-paced environment. Preferred Software Experience Microsoft Office (Word, Excel, Outlook, PowerPoint) Microsoft Teams Adobe Acrobat Experience with ERP, CRM, accounting, document management, or project management software is a plus.
