Administrative Assistant / Office Manager Bruin & Sons Landscape & Construction Mendham, NJ Position Summary Bruin & Sons Landscape & Construction is seeking a highly organized, professional, and dependable Administrative Assistant to support the daily operations of our growing landscape and construction company. This individual will serve as the primary point of contact for office administration and play a key role in keeping our business running efficiently. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple responsibilities in a fast-paced environment. This position requires strong communication skills, discretion when handling confidential information, and the ability to work independently while supporting ownership and management. Responsibilities Office Administration Answer and direct incoming phone calls professionally Manage company email correspondence and respond to inquiries on behalf of management when appropriate Maintain organized digital and physical filing systems Schedule meetings, appointments, and project-related activities Assist with general office organization and administrative support Communication with customers regarding timelines for projects to start, etc... Payroll & Human Resources Support Process weekly payroll accurately and on time Maintain employee records and onboarding paperwork Track PTO requests, employee documentation, and certifications Assist with hiring administration, employment forms, and compliance documentation Billing & Accounting Support Assist with invoicing, billing, and accounts receivable Track outstanding balances and follow up on unpaid invoices Coordinate with management regarding customer payments and collections Assist with accounts payable and vendor invoices as needed Maintain accurate financial records and data entry Customer Service & Client Relations Communicate professionally with residential and commercial clients Respond to customer inquiries via phone and email Coordinate scheduling updates and project communications Assist in maintaining a positive client experience throughout the lifecycle of projects Operational Support Support project managers and sales staff with administrative tasks Prepare proposals, contracts, reports, and other business documents Maintain and update company databases, spreadsheets, and CRM systems Assist with permit applications, insurance certificates, and vendor documentation when required Assist with calling for mark outs on properties (811) Qualifications Previous experience in an administrative assistant, office manager, bookkeeping, or similar role Strong organizational and time-management skills Excellent written and verbal communication abilities Proficiency with Google Workspace Experience with payroll processing and basic bookkeeping preferred QuickBooks experience is a plus Ability to maintain confidentiality and professionalism Strong attention to detail and accuracy Ability to prioritize tasks and work independently What We're Looking For We're looking for someone who takes ownership of their work, enjoys keeping things organized, and wants to become an integral part of a growing family-owned business.
