Job Description

Job Summary:
We are seeking a reliable, detail-oriented Administrative Assistant(s) to support the daily operations of our creative and customer-focused glass blowing facility. This role involves front desk duties, customer service, sales, scheduling, and support for art and glass blowing classes. The ideal candidates are organized, tech-savvy, personable, and comfortable multitasking in a fast-paced, artistic environment.
Key Responsibilities:
Front Desk & Communication Greet and assist visitors in a professional, friendly manner Answer and direct incoming phone calls Respond to inquiries and reviews via phone, email, and in-person Manage daily email communications and maintain digital files using Google Workspace (Docs, Sheets, Drive, Gmail, Calendar, etc.) Customer Service & Sales Deliver outstanding service to customers and guests Assist with purchases in the gift gallery, including product recommendations and checkout Pack and ship purchased or donated items accurately and efficiently Help resolve customer issues with professionalism and care Gift Gallery & Display Maintain the presentation and organization of the gift gallery Restock merchandise and assist with gallery display setup Class & Event Coordination Schedule and coordinate classes, including glass blowing, mosaic, and etching classes, with instructors and students Communicate class details, changes, or requirements to participants and staff Maintain class rosters and track registrations Art Class & Studio Support Assist instructors during classes, especially mosaic and etching classes, with setup, material handling, and cleanup Ensure safety protocols are followed in studio spaces Help manage supplies and materials for general art classes Office Administration Perform general office tasks including filing, scanning, data entry, and organizing Order and track office supplies Help with inventory management Shipping & Logistics Prepare outgoing shipments and manage logistics Track and confirm delivery of shipped items Problem Solving & Team Support Identify and address operational issues proactively Provide support across departments and adapt to evolving daily needs
Qualifications:
High school diploma or equivalent (Associate's or Bachelor's degree preferred) Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail, Drive, etc.) Excellent communication, organization, and multitasking skills Friendly, professional demeanor with strong customer service orientation Ability to work both independently and as part of a team Comfort in a creative or studio environment; experience with glass blowing or art classes is a plus Ability to lift up to 25 lbs and remain on your feet when assisting in the studio or gallery Ability to climb stairs to access supplies
Work Environment:
This position involves a mix of administrative tasks, customer interaction, and physical involvement in art and glass blowing class support. The environment is creative, fast-paced, and collaborative. A flexible mindset and willingness to learn are essential.
Pay:
$17.00 - $20.00 per hour
