Responsibilities Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary Handle scheduling and calendar management for executives and team members, coordinating meetings and appointments efficiently Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records Utilize office management skills to oversee supply inventory, organize files, and maintain office equipment Provide exceptional customer service by assisting clients, vendors, and internal staff promptly and effectively Support bookkeeping tasks using QuickBooks or similar software to track expenses and financial records Skills Proven experience with office management, clerical duties, or administrative support in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment Exceptional phone etiquette and experience managing multi-line phone systems with professionalism Bilingual abilities are a plus to assist diverse client needs effectively Demonstrated attention to detail through proofreading, data entry accuracy, and filing systems Experience as a dental or medical receptionist or personal assistant is advantageous for understanding specialized workflows Knowledge of bookkeeping practices using QuickBooks or similar accounting software enhances financial support capabilities Effective time management skills to handle multiple responsibilities seamlessly while maintaining a positive attitude Join us in this rewarding role where your organizational talents will make a real difference!
