Job Description
Job Overview We are seeking a highly organized Legal Office Assistant to join our team. In this part-time role, you will be tasked with ensuring smooth operations of office communications, office inventory and client file management. Responsibilities Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy. Handle front desk duties including greeting visitors, managing appointments, and maintaining a welcoming environment. Assist with office management tasks such as supply inventory, filing systems, and equipment maintenance. Support team members with administrative tasks such as calendar management, scheduling meetings, and coordinating logistics. Open client files in our Case Management system. File OPRA requests. Prepare outgoing mail and courrier messages. Experience Previous clerical or administrative experience in an office setting is preferred. Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and familiarity with spreadsheets is essential. Bilingual abilities are highly valued to facilitate communication with diverse clients and staff. Spanish or Ukrainian would be highly helpful. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated customer service skills combined with professional phone etiquette and phone communication expertise. Personal assistant experience or office management background will be advantageous for success in this role. This is very much a part time role. We do not envision the role growing sigificantly any time soon but, that possibility is not ruled out.
