Job Description

We are seeking a highly organized and detail-oriented Operations Support Coordinator to support day-to-day operational functions. This role is essential to ensuring smooth workflow across billing, scheduling, customer communication, inventory management, and administrative support. The ideal candidate is tech-savvy, dependable, and possesses strong written and verbal communication skills. Key Responsibilities Parts Ordering & Inventory Order parts and supplies as needed Track inventory levels and maintain accurate records Coordinate receiving and distribution of materials Inventory Distribution Organize and distribute parts and supplies to appropriate teams Monitor stock usage and assist with inventory audits Billing & Invoicing Prepare, review, and process invoices accurately and in a timely manner Verify billing data and resolve discrepancies Maintain organized financial records Scheduling & Coordination Manage and coordinate service schedules, appointments, and staff calendars Communicate schedule updates to customers and internal teams Customer Communication Answer and manage incoming phone calls professionally Respond to customer inquiries and provide timely follow-up Warranty Claims Management Process and track warranty claims with vendors and manufacturers Maintain documentation and ensure compliance with claim requirements Administrative & Content Support Edit and proofread flyers, invoices, and other documents for accuracy and professionalism Ensure consistent formatting and proper grammar across all materials Qualifications High school diploma or equivalent (Associate's or Bachelor's degree preferred) Proven experience in administrative, operations, or coordinator roles Strong attention to detail and organizational skills Proficiency in computer systems Excellent written and verbal communication skills Ability to multitask Problem-solving mindset and ability to work independently Preferred Skills Familiarity with billing and accounting processes Customer service experience Work Environment Office-based role with regular interaction via phone, email, and internal systems May require occasional lifting of inventory items

From $20.00 per hour
