Job Summary Prevention is Key is a Non-Profit Organization providing Prevention and Recovery Services in seven counties in northern New Jersey. We have been doing this work for 35 years and have a proven track record for success! We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will assist in coordinating our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Provide administrative support to Executive, Operations and Human Resources functions Assist with daily operations needs for three office locations in Morris, Passaic and Essex counties Maintain organized office files, records, and correspondence to ensure easy retrieval and compliance with company policies Support office management by coordinating schedules, appointments, and meetings for team members and executives Assist with client communication and customer service efforts to provide prompt, friendly support both in person and via phone or email Utilize computer skills to prepare reports, memos, and presentations while ensuring high levels of accuracy and efficiency Support clerical tasks such as photocopying, scanning, mailing, and inventory management to keep the office running smoothly Requirements Proven administrative experience or office management background with strong organizational skills Proficiency in Microsoft Office suite including Word, Excel, PowerPoint, Outlook and Teams Strong time management abilities to prioritize tasks efficiently Exceptional communication skills in both verbal and written forms Demonstrated ability to handle data entry accurately while maintaining confidentiality and professionalism Experience supporting office operations and human resources functions, along with executive communications, presentations and calendar management is highly desirable Non-profit experience is a plus, but not required This role offers an exciting opportunity to contribute your organizational talents and administrative skills while supporting a dedicated team committed to excellence.
