We are seeking a reliable, detail-oriented Office Administrative Assistant to join our fast-paced landscaping office. This individual will play a critical support role for the office team by managing incoming phone calls, organizing daily tasks, maintaining appointment schedules, and ensuring smooth administrative operations. The ideal candidate is professional, organized, tech-savvy, and capable of handling multiple responsibilities with efficiency and accuracy.
Key Responsibilities:
Answer and Direct Phone Calls:
Serve as the first point of contact for clients and vendors, handling inquiries with professionalism and courtesy.
Daily Administrative Tasks:
Complete routine office tasks including copying, scanning, filing, and data entry.
Appointment Scheduling:
Print, confirm, and prepare the next day's appointments; maintain and update calendars and schedules.
Mark-Out Requests:
Call in mark-outs (e.g., utility locate requests) as needed to support field crews.
Filing & Record Keeping:
Keep electronic and paper filing systems up to date and well organized.
Team Support:
Assist the office staff and management team with various tasks and special projects as they arise.
Customer & Vendor Interaction:
Communicate effectively with customers, subcontractors, and suppliers.
Evening and Weekend Availability:
1-2 evening closings per week (10:00AM
  • 7:00PM) & 1-2 Saturdays per month (9:00AM
  • 5:00PM) , based on a rotating schedule.
Required Skills & Qualifications:
Office Software Proficiency:
Microsoft Office Suite (Word, Excel, Outlook)
  • intermediate proficiency QuickBooks
  • basic familiarity (invoice entry, lookups, etc.
) preferred
Strong Communication Skills:
Clear, professional verbal and written communication.
Time Management:
Ability to prioritize tasks, meet deadlines, and manage interruptions in a busy environment.
Organizational Skills:
Strong attention to detail and ability to maintain accurate records.
Multitasking Ability:
Handle multiple responsibilities and switch between tasks efficiently.
Professional Demeanor:
Friendly and courteous attitude with a strong customer service focus.
Preferred Qualifications:
Prior experience in a landscaping, construction, or service-based office setting.
Work Environment & Compensation:
