Job Description

Position Summary Responsible for providing comprehensive administrative and operational support to the Obstetrics and Gynecology Department. This role supports daily office operations, manages complex data systems for reporting, and assists with communication and presentation of departmental goals across multiple levels and departments.
Job Responsibilities :
Serves as a primary administrative and operational support resource for the Department of Obstetrics and Gynecology, ensuring efficient daily workflow and continuity of services. Communicates effectively with patients, physicians, maternity staff, hospital departments, and external stakeholders through written and verbal correspondence. Prepares, tracks, and follows up on action items to ensure deadlines are met. Maintains operational, and departmental records through organized and efficient filing and record‑retention systems to allow prompt retrieval of information. Develops, maintains, and manages multiple Excel spreadsheets and reports to support departmental operations, tracking, and organizational initiatives. Assists in compiling, analyzing, interpreting, and reporting OB/GYN and Maternity Center data using statistical techniques and reporting tools. Prepares customized reports for OB/GYN leadership and Maternity Department physicians as requested. Reviews Maternity Center charges weekly to ensure billing accuracy and reports discrepancies or concerns directly to department leadership. Acts as a liaison among maternity staff, physicians, hospital departments, and leadership, serving as an internal resource within the department. Provides administrative support for department meetings, special projects, conferences, purchasing requests, maintenance requests, telecommunications, and general program inquiries. Demonstrates professionalism, discretion, patience, sensitivity, and tact when interacting with patients and families, including difficult or sensitive situations. Provides scheduled and unscheduled coverage for team members to ensure uninterrupted service delivery. Utilizes advanced proficiency in Microsoft Word, Excel, PowerPoint, EPIC, REDCap, Power BI, and other departmental applications as required. Participates in the annual performance evaluation process by submitting year‑end accomplishments and collaboratively establishing goals for the upcoming year. Maintains professional growth through organizational development courses, in-service training, conferences, and ongoing education. Performs additional administrative duties as assigned by Maternity Leadership.
Required:
1. High School Diploma or equivalent. 2. 1-2 years of relevant experience in administrative support setting. 3. Advanced experience with Excel and all Microsoft Office Suite applications.
Preferred:
1. Bachelor's Degree in any related field.
