Why does the job exist? This position provides a wide variety of secretarial duties and relieves supervisory staff of administrative detail to include filing, archiving, preparation of travel vouchers, purchase documents, payroll, scheduling, processing, incoming and outgoing mail, answering phones and greeting visitors. How does it get done? Office assignments include record manager of all client master files, knowledge of client orientation paperwork and complete all client Face sheets/absconder sheets upon intake. Typing documents, distributing memos, answering phone calls/emails, taking detailed messages. Faxing, printing, photocopying, filing and scanning documents. Monitor office inventory, stock and and complete supply orders. Submit and track invoices, contact vendors, obtain quotes and requisitions into SHARE. Complete new hire documentation, PARs, PARF's and prepare Drug Test documentation and Physical Request Forms. Maintain client financial record logs. Minimum Qualification No prior experience or training required. Employment Requirements Must possess and maintain a valid Driver's License. Pre-employment background investigation is required and is conditional pending results. Working Conditions Work is performed in an office setting: late hours and weekend work may be required. Will be exposed to regular periods of Visual/Video display Terminal (VDT) and extensive personal computer and phone usage. Some statewide travel may be required. Possible exposure to irate clientele.
