Job Summary We are seeking a dynamic and highly organized Administrative Assistant with knowledge of construction compliance and billing to join our team! In this role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette. Handle calendar management and scheduling for team members, coordinating appointments, meetings, and events with precision. Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications. Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to streamline administrative processes. Support bookkeeping tasks, including basic bookkeeping and invoice processing, to assist with financial recordkeeping. Provide clerical support through organizing files, managing correspondence, and supporting customer support efforts. Assist with office management tasks such as supply ordering, maintaining office equipment, and ensuring a tidy workspace. Qualifications Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and computer literacy. Excellent communication skills with a professional demeanor; bilingual abilities are a plus. Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management. Knowledge of QuickBooks or bookkeeping experience is preferred but not required. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Previous experience in customer service or as a receptionist (medical or dental receptionist experience is advantageous).
