Job Description

We are seeking a dedicated and organized Church Secretary to serve as the heartbeat of our staff and congregation by managing daily communications, coordinating schedules, and ensuring our ministries run smoothly. The position of the Church Secretary is a very special ministry and important in a church setting. This individual is on the front lines of the church's ministry and is one of the very first person(s) the public sees and talks to. She or he reflects the church and should always keep this in mind. This is a faith-based, church-based administrative opportunity. MISSION:
  • To support and enhance the operations of the Spanish Springs Presbyterian Church through office, clerical, and online duties
ACCOUNTABILITY
  • Accountable to the Pastor and Session of this Congregation, which has sole authority to hire or terminate
HOURS:
  • Office hours from Monday to Friday, for a total of 20 - 25 hours per week.
RESPONSIBILITIES
Daily
  • Check phone messages.
  • Answer phones.
  • Check and answer church email.
  • Distribute mail and emails to pastor, officers, and staff.
  • Maintain and manage the church calendar.
  • Post updates and Sunday worship services on website.
  • Operate all office equipment, including but not limited to: desktop computer with software such as Microsoft Office (Word, Power Point, Publisher), graphics, label generator, photo-copy machine. Weekly
  • Prepare, copy, and assemble the bulletin for each Sunday's service.
  • Compile a list of visitors from the Sunday service.
  • Prepare PowerPoint presentation to accompany on-line worship service.
  • Prepare and distribute Liturgist Scripts for each Sunday's service.
  • Enter copyright information into One License for hymns, choir anthems, organ music, and other special music selections. Monthly
  • Collect and organize reports from Pastor and Ministry Team Moderators for monthly newsletter.
RESPONSIBILITIES
Yearly
  • Assist Stewardship Team in production and mailing of stewardship letters and pledge cards. Other
  • Be responsible for scheduling the use of rooms and church facilities.
  • Any other assigned or requested duties that occur daily and give assistance to the effective operations of the church office.

  • Should be willing and able to work at a fast pace within a variety of settings and circumstances, with composure and flexibility.
  • Should be willing to travel occasionally as the need arises (ex. training).
  • Should be ever conscious of the need for confidentiality.
  • Should always exercise discernment and wise judgement.
  • Should be a person who gives extreme attention to details with an eye for excellence.
  • Should have a focused attitude with the willingness to seek new information, training, and resources as needed.
  • Should be a self-starter, good at multi-tasking and prioritizing projects.
  • Should possess strong administrative skills and the ability to work independently without supervision.
Pay:
$17.00 - $20.00 per hour
