Job Description

We are looking for a detail-oriented Administrative Assistant to join our team in Forest Hills, New York. In this role, you will support the Executive Director by managing schedules, coordinating meetings, and handling essential administrative tasks. This is a long-term contract position with opportunities to make a meaningful impact in a non-profit environment.
Responsibilities:
  • Manage and organize the Executive Director's calendar, ensuring appointments are scheduled efficiently and conflicts are resolved.
  • Coordinate and arrange meetings, including booking venues, preparing materials, and sending out invitations.
  • Take detailed meeting notes and distribute them promptly to relevant stakeholders.
  • Answer and direct inbound phone calls professionally while addressing inquiries effectively.
  • Perform general administrative duties such as filing, document preparation, and correspondence.
  • Assist in maintaining office organization and ensuring smooth day-to-day operations.
  • Support the Executive Director with time-sensitive tasks and special projects as needed.
  • Communicate updates and reminders to team members regarding schedules and deadlines.
  • Work collaboratively with other staff members to ensure alignment on tasks and priorities.
