Job Description

Are you an organized, detail-oriented professional who enjoys keeping operations running smoothly behind the scenes? ACES is seeking a Transportation/Facilities Clerk to provide essential administrative and clerical support to our Transportation and Facilities teams. In this role, you will help coordinate daily operations, maintain critical records, support compliance efforts, and serve as a key communication link between departments. This is a non-supervisory position that works under the direction of the Transportation and Facilities Director. The successful candidate will be highly organized, dependable, and committed to providing excellent service in a fast-paced environment. Key Responsibilities Responsibilities include, but are not limited to: Provide clerical and administrative support to the Transportation and Facilities departments. Track renewal and compliance deadlines for licenses, permits, Department of Transportation (DOT) requirements, Department of Motor Vehicles (DMV) documentation, vehicle inspections, and related certifications; notify managers of upcoming deadlines and assist with follow-up actions as requested. Review and process forms, records, and documentation for completeness and accuracy. Organize, coordinate, and maintain filing systems for work orders, invoices, fuel records, daily logs, and other operational documents. Maintain financial records and perform basic accounting functions using Sage Intacct software. Complete routine calculations and data entry with accuracy and attention to detail. Manage telephone, mail, and email communications professionally and efficiently. Develop, update, and maintain office procedures, forms, and administrative systems that support departmental operations. Assist with special projects and administrative initiatives as assigned. Qualifications The ideal candidate will possess: An Associate Degree in Business Administration or a related field, or equivalent work experience in transportation, facilities, maintenance, or administrative operations. Strong organizational and time-management skills. Excellent written, verbal, and interpersonal communication abilities. Proficiency with office software and computerized record-keeping systems. Experience with Sage Intacct or similar accounting software preferred. A strong commitment to customer service and the ability to work effectively within a diverse community. A demonstrated history of reliability, initiative, and professional accomplishment. Physical Requirements Ability to read, write, and perform basic mathematical calculations accurately. Ability to operate office equipment and technology required for the position. Ability to access and move throughout all areas of the campus. Ability to lift and carry items weighing up to 50 pounds.
