Job Description
Bornhava is a specialized early childhood center serving children with developmental disabilities and delays from birth through age five. Our team works collaboratively to nurture and educate children through play while supporting and empowering their families. We are seeking a professional, organized, and welcoming Administrative Assistant to serve as the primary point of contact at our main office and provide administrative support to our Executive Director, Leadership Team, staff, and programs. This position is ideal for someone who enjoys working with people, can manage multiple priorities, and understands the importance of professionalism, confidentiality, organization, and excellent customer service. The Administrative Assistant is often the first person families, visitors, community partners, and callers interact with at Bornhava. This position is responsible for creating a welcoming and professional environment while managing front-desk operations and providing administrative and operational support throughout the agency. The successful candidate will be dependable, detail-oriented, comfortable working in a busy school environment, and able to respond professionally to changing priorities and frequent interruptions. Key ResponsibilitiesFront Desk & Communication Serve as the primary point of contact for families, staff, visitors, vendors, community partners, and callers. Answer, screen, and direct telephone calls and accurately route messages and inquiries. Greet visitors and monitor the agency's main entrance. Follow visitor sign-in, building access, security, and safety procedures. Provide general information about Bornhava and appropriately refer program-specific, clinical, confidential, or administrative questions. Maintain staff contact and telephone extension information and assist with phone system administration as assigned. Office Operations Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages and maintain postage equipment and mailing supplies. Order, organize, and monitor office supplies while remaining mindful of agency resources and budget. Coordinate commonly used classroom supply requests as directed. Maintain an organized, professional, and welcoming reception and front-office area. Administrative Support Prepare, update, copy, and distribute staff and classroom lists, emergency information, sign-in materials, family communications, and other agency documents. Provide administrative support to the Executive Director and Leadership Team, including correspondence, scheduling, meeting preparation, interviews, reference checks, and special projects. Maintain accurate electronic and paper records and filing systems. Assist with agency meetings, committees, events, fundraising activities, and the annual Bornhava Auction. Assist with Early Intervention (EI) and CPSE parent transportation communications, documentation, and recordkeeping as assigned. Provide administrative and operational support during arrival and dismissal, agency events, emergencies, and other periods of increased need. Maintain confidentiality when handling student, family, employee, and agency information. Perform additional administrative duties as needed to support agency operations.
