This role offers an exciting opportunity to support daily office operations, manage bookkeeping tasks, and provide exceptional customer service. The ideal candidate will be highly organized, tech-savvy, and capable of handling multiple responsibilities with enthusiasm. Your energy and commitment will help ensure our office runs smoothly, allowing us to deliver outstanding service to clients and colleagues alike. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Perform data entry and maintain accurate records using QuickBooks and other accounting software for bookkeeping tasks Support office management activities such as filing, organizing documents, and maintaining office supplies inventory Assist with calendar management and scheduling appointments or meetings using Google Workspace and Microsoft Office tools Provide clerical support including proofreading documents, preparing reports, and handling correspondence Support customer service efforts by responding to inquiries, providing information, and ensuring a positive experience for clients and visitors Handle general administrative duties such as filing, photocopying, scanning, and managing incoming/outgoing mail Experience Prior office experience with a focus on administrative support or clerical duties is required Demonstrated proficiency in QuickBooks for bookkeeping tasks is essential Experience working at the front desk or managing multi-line phone systems is highly preferred Bilingual skills are a strong plus to effectively communicate with diverse clients and team members Strong computer skills including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and general computer literacy are necessary Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively Previous experience in customer support or personal assistant roles will be advantageous Knowledge of office management best practices combined with strong attention to detail will help ensure accuracy in all responsibilities Join us in a vibrant environment where your organizational talents and positive attitude will make a real difference!
