Cicero, NY Job Details Full-time $24 - $28 an hour 11 hours ago Qualifications High school diploma or GED Full Job Description Stellar Roofing is seeking a detail-oriented and organized Administrative Assistant - Production to support the production team in coordinating of home exterior projects from contract review, scheduling the project and seeing it through completion. This role plays a crucial part in maintaining smooth communication between crews, suppliers, sales, and management to ensure timely and efficient project delivery.
Key Responsibilities:
Assist with scheduling production crews and subcontractors to align with project timelines. Maintain and update production schedules, work orders, and job status reports. Coordinate communication between sales, production, suppliers, and field teams. Prepare and distribute daily/weekly production reports to relevant stakeholders. Track inventory levels and assist with ordering materials as needed. Organize and maintain project documentation, contracts, permits, and warranty information. Assist with invoices, billing, and job closeout procedures. Support the Production Manager with administrative tasks and special projects. Respond promptly to internal and external inquiries related to project status.
Qualifications:
High school diploma or equivalent; Associate degree or relevant certification a plus. 1-3 years of administrative experience, preferably in construction, roofing, or production environments. Strong organizational and multitasking skills. Excellent communication skills, both written and verbal. Proficient in Microsoft Office (Word, Excel, Outlook) and experience with project management or ERP software. Detail-oriented with ability to work independently and as part of a team. Knowledge of roofing industry terminology and processes is a plus.
