Job Description

Position Summary The Developmental Disability Services Office Assistant provides administrative and clerical support to ensure the efficient operation of the Day Habilitation program serving individuals with intellectual and developmental disabilities. This position supports program staff by maintaining accurate records, coordinating office functions, verifying participant information, and assisting with compliance with OPWDD, Medicaid, and HIPAA requirements. Essential Duties and Responsibilities Answer telephones, greet visitors, and respond to inquiries in a professional and courteous manner. Schedule appointments, meetings, transportation, and program activities. Maintain participant files, attendance records, and other confidential documentation. Perform data entry, filing, scanning, copying, and document management. Prepare reports, spreadsheets, correspondence, and meeting materials. Process incoming and outgoing mail, email, and other office communications. Maintain calendars and coordinate staff meetings and training sessions. Monitor office supplies and place orders as needed. Verify and document participants' Medicaid Client Identification Number (CIN)/Medicaid number to ensure eligibility for OPWDD services and accurate billing. Check Medicaid eligibility and maintain current Medicaid information in participant records. Review the Electronic Medical Record (EMR) to verify that participant information, documentation, and required records are accurate, complete, and current. Check the EMR for document validity, including required assessments, authorizations, consents, and other time-sensitive records, and identify items requiring renewal or follow-up. Notify appropriate staff of missing, expired, or incomplete documentation and assist in maintaining compliance with OPWDD documentation standards. Update and maintain participant records in the EMR while ensuring compliance with
HIPAA, OPWDD
regulations, and agency policies. Support staff with OPWDD documentation, record organization, compliance tracking, and quality assurance activities. Maintain strict confidentiality of participant information at all times. Perform other administrative and clerical duties as assigned by the Program Director or Supervisor. Qualifications High school diploma or equivalent required; Associate degree preferred. One to two years of administrative or clerical experience, preferably in healthcare, human services, or an OPWDD setting. Proficiency in Microsoft Office (Word, Excel, Outlook) and electronic medical record (EMR) systems. Strong organizational, communication, and customer service skills. Excellent attention to detail with the ability to manage multiple priorities. Ability to maintain confidentiality and handle sensitive information professionally. Preferred Qualifications Experience working with OPWDD programs and regulations. Knowledge of Medicaid eligibility verification and documentation requirements. Familiarity with OPWDD documentation standards and compliance procedures. Experience using electronic medical record systems and maintaining accurate participant records. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to lift and carry office supplies up to 20 pounds. Ability to operate standard office equipment, including computers, printers, copiers, and scanners. Work Environment Work is primarily performed in an office setting within a Day Habilitation program. Regular interaction with participants, families, staff, and external providers is required while maintaining professionalism, confidentiality, and compliance with OPWDD, Medicaid, and HIPAA regulations.
