About Us Song of Songs Group is a growing music school serving students ages 4 through adult, offering private and group lessons in a supportive, high-quality environment. We're looking for a highly organized and reliable Administrative Assistant to help keep daily operations running smoothly. Position Overview This role is responsible for the day-to-day administrative operations of the school. You'll be the main point of contact for families, manage scheduling logistics, and support internal coordination to ensure a seamless experience for students and staff. Primary function will be to assisting Chinese speaking families on the responsibilities listed blow: Key Responsibilities Manage student scheduling, rescheduling, and cancellations Handle incoming inquiries via email, phone, and text in a timely, professional manner Maintain accurate student records and attendance tracking Coordinate with instructors regarding schedules, room assignments, and updates Assist with billing, invoicing, and payment tracking Support enrollment and onboarding of new students Help organize recitals, events, and internal communications During downtime, take ownership of a focus area such as social media marketing, customer retention, student experience, or event planning Maintain a clean, organized, and welcoming school environment at all times General administrative support as needed Qualifications Strong organizational and time management skills Excellent written and verbal communication Comfortable multitasking in a fast-paced environment Proficiency with Google Workspace (Docs, Sheets, Calendar) Experience with scheduling systems or CRM tools is a plus Prior administrative experience preferred Bilingual in Mandarin Interest in music or arts education is a plus Schedule & Compensation Evening and/or weekend availability may be required Compensation based on experience Why Join Us Supportive and collaborative team environment Opportunity to grow with a growing school Be part of a mission-driven organization focused on music education To Apply Please send your resume and a brief introduction outlining your experience and availability.
