full-time CloudFirst Technology Solutions is seeking a highly organized and customer-focused Office Assistant to serve as the central administrative hub of our growing Managed Services Provider (MSP) organization. This position supports customers, vendors, technicians, and management by coordinating service requests, assisting with dispatch operations, maintaining vendor relationships, supporting light bookkeeping functions, and ensuring smooth daily office operations. Candidates with experience in dispatching, office administration, customer service, scheduling, service coordination, or bookkeeping are encouraged to apply. Experience with an
MSP, HVAC
contractor, plumbing company, electrical contractor, construction firm, logistics provider, or other field service organization is a plus. Essential Responsibilities Customer & Vendor Support Serve as the first point of contact for customers, vendors, and visitors. Answer incoming calls and direct inquiries appropriately. Coordinate customer appointments, service requests, and follow-up communications. Maintain professional relationships with vendors, suppliers, and business partners. Track open requests and ensure timely follow-up. Dispatch & Scheduling Assist with scheduling and dispatching technicians for onsite and remote service appointments. Monitor service requests and ensure accurate routing to appropriate team members. Coordinate technician calendars and appointment schedules. Assist with managing schedule changes, emergencies, and priority requests. Follow up with customers and technicians regarding open service tickets. Administrative Support Perform general office administration and data entry. Prepare correspondence, reports, and documentation. Maintain organized electronic and paper filing systems. Order office supplies and track inventory. Support management with administrative projects and operational tasks. Bookkeeping Support Assist with Accounts Payable and Accounts Receivable activities. Enter invoices, bills, and payments into company systems. Assist with collections and customer payment follow-up. Reconcile vendor statements and identify discrepancies. Maintain accurate financial and vendor records. Support purchasing and procurement activities. Customer Service Deliver exceptional customer service and professional communication. Maintain accurate documentation of all interactions. Escalate urgent issues appropriately. Support CloudFirst's commitment to responsiveness and client satisfaction. QualificationsRequired 1+ year of experience in office administration, customer service, dispatching, scheduling, or a related role. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Strong attention to detail and follow-through. Proficiency with Microsoft Outlook, Word, Excel, and Teams. Professional telephone and customer service skills. Preferred Experience working for an MSP (Managed Services Provider). Experience dispatching technicians or field service personnel. Accounts Payable and Accounts Receivable experience. Experience using ConnectWise, QuickBooks, ServiceTitan, or similar business software. Experience with HVAC, plumbing, electrical, construction, transportation, or logistics companies. Familiarity with Microsoft 365 business environments.
