Job Description

The Secretary oversees Family Enrichment Network's clerical services using a high degree of confidentiality, judgment, and provides back up coverage in front office for morning, lunch, and afternoon. Provides assistance to the Executive Director and Senior Staff members. Responsible for managing and coordinating Adopt-A-Family, Coats for Kids, Backpacks as well as other agency projects.
Responsibilities include:
Supervises and evaluates the front office staff job performance. Develops an Individual Training Plan with the Secretary and secures necessary resources/training to enhance staff's performance and to encourage professional growth. Leads the selection of clerical staff. Works on computer with Microsoft Word & Excel, Canva, etc. Acts as assistant to the Executive Director. Works closely with senior staff and program managers to ensure acceptable response times for projects and tasks submitted to the clerical staff for typing, copying, etc. Recognizes and maintains confidential information. Schedules Board of Directors and committee meetings. Screens calls, staff requests, and visitors for Executive Director. Coordinates Agency phone coverage among clerical staff and provides back-up phone coverage in absence of the Secretary/Receptionist. Takes voice mail messages when necessary and routes accordingly. Schedules regular meetings with the clerical support staff. Coordinates closing procedures with Head Start Director and updates telephone messages as needed. Coordinates annual Adopt-a-Family holiday program Coordinates annual coat drive Maintains Agency brochures, flyers, and promotional materials Types letters, forms, documents, etc. as requested by the Executive Director. Formats and types proposals, grants, and contracts, as requested by the Supervisors. Takes minutes at meetings as requested. Maintains records and files for Executive Director. Composes letters, memos, etc. as requested by the Executive Director. Coordinates mailings. Handles managers' mail in their absence. Responsible for compiling Annual Report and coordinating the Annual Meeting. Establishes procedures with Supervisor for implementation of job responsibilities. Reviews department monthly reports and summarizes outcomes to incorporate into the Strategic Plan. Coordinates Administrative Self-Assessment. Prepares written reports, plans, procedures, and surveys. Reviews and proofreads documents as needed before returning to originators. Prioritizes and assigns clerical tasks to the Secretary and any other clerical support staff. Assists the clerical staff with completing projects. Oversees the distribution of the daily mail. Establishes and implements procedures for record keeping and retrieval of documents in the Family Enrichment Network archives consistent with approved records retention requirements. Oversees the inventory, maintenance, and ordering of clerical supplies and equipment. Assists in budget development for clerical support functions and monitors expenses. Assists in maintaining Agency phone system. Coordinates the Agency's Adopt a Family Program and Coats for Kids.
