Due to continued growth, we are looking to add an Administrative Assistant to our Liverpool, NY team. In this role, you will handle a variety of clerical and administrative tasks, communicate effectively with internal and external stakeholders, and contribute to organizational efficiency by providing timely, accurate support to the team and management. Success in this role requires strong organizational skills, attention to detail, a customer-focused mindset, and the ability to manage competing priorities in a fast-paced office environment.
Key Responsibilities:
Receive and process incoming purchase orders, ensuring accurate recordkeeping and timely routing to the appropriate teams. Support the accounts payable function by tracking, organizing, and processing invoices and related documentation in accordance with company procedures. Monitor and maintain building supply inventory, including copier paper, bathroom toiletries, and kitchen supplies, and coordinate restocking as needed. Maintain and organize Certificates of Insurance files for customers, ensuring records are current, complete, and readily accessible. Assist with onboarding new employees, including preparing documentation, coordinating orientation materials, and serving as a point of contact for new hire administrative needs. Answer phones, greet visitors, and direct inquiries to the appropriate team members in a professional and courteous manner. Perform general office duties including copying, scanning, faxing, filing, and maintaining organized physical and electronic records. Assist with special projects and other related duties as assigned.
Qualifications:
High School Diploma or GED required. Previous experience in an administrative setting, or an equivalent combination of education and experience. Strong customer service skills with the ability to interact effectively and professionally with a wide variety of individuals in person, by phone, and in writing. Good oral, written, and telephone communication skills. Strong time management, organizational, and interpersonal skills. Moderate to advanced computer skills, including proficiency with Microsoft Office products and the AS400 system. The wage for this role is $22.00 per hour and above, based on experience and qualifications.
