This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills. You will manage front desk duties, coordinate schedules, handle correspondence, and assist with various administrative tasks to ensure our office runs smoothly and professionally. This paid position is perfect for someone eager to grow their office management skills in a fast-paced environment. Responsibilities Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression Manage multi-line phone systems, answer inquiries, direct calls appropriately, and take detailed messages Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, coordinate calendars, and manage meeting arrangements using tools like Microsoft Office Handle incoming and outgoing correspondence via email, mail, and phone with excellent phone etiquette Support bookkeeping tasks such as invoicing, expense tracking with QuickBooks, and basic bookkeeping duties Assist with office management duties including supply inventory, filing systems, and general administrative support Qualifications Proven office experience with strong clerical skills and familiarity with office management procedures Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Ability to complete regulatory registration and pre-employment screening. This includes a Fingerprint-Based Background Check Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills and computer literacy to perform data entry and document proofreading accurately Bilingual abilities are a plus to serve diverse client needs effectively Previous experience as a receptionist or medical/dental receptionist is advantageous Demonstrated customer service skills with professional phone etiquette and support capabilities Personal assistant or calendar management experience preferred for handling scheduling efficiently Join us to be part of a vibrant team where your organizational talents will shine!
