Job Description

The duties that the incumbent of the vacancy will be expected to perform.
Duties Description Duties Description:
The incumbent will be assigned to the Office of Fleet Administration, Production Control Section, and will be responsible to perform the duties consistent with the Classification Standard for an Office Assistant 2 (OA2), including but not limited to: Order and distribute EZ passes, fuel cards (OGS/WEX) and license plates. Submit Receiving Report (PUR24) forms to Main Office; ensure products received meet specific criteria for what was ordered. Complete and submit EM17 forms for new vehicle registration to Main Office. Prepare CS201 forms for OGS auctions and enter records of surplus equipment/items into the Asset Management System (AMS) database. Enter/update information for work orders and meter readings into the AMS database. Create and distribute reports to program areas for preventative maintenance schedules and performance reports. Create spreadsheets and maintain accurate ARI/Holman records. Provide customers with a detailed description regarding the status of their equipment repairs. Provide telephone coverage. Maintain electronic and paper files. Assist Program Aide with purchase requisitions, purchase orders, change notices and the processing of bills/invoices by voucher or P-Card. Assist Program Aide with personnel matters such as hiring packages, employee health benefits, workers compensation, FMLA and/or sick leave. Responsibilities may include serving a role within the Incident Command System to support the department's response to regional and statewide emergency situations. The minimum qualifications required for this vacancy. Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).• To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law. To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the minimum qualifications for this position.
The qualifications are:
Promotional:
One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.

Open Competitive:
One year of clerical experience. Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law. If there are three or fewer qualified candidates interested in appointment to this position a permanent appointment may be made pursuant to Section 52.7 of the Civil Service Law. To be eligible, candidates must be an employee of the Department of Transportation and have one year of permanent competitive service as a Office Assistant 1, SG-06. NY HELPS
Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under
NY HELPS
will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an
NY HELPS
