Job Description
Job Overview The Administrative Assistant provides administrative and clerical support to Orchard School and assists the Administrative Coordinator and school leadership in maintaining smooth daily operations. This position supports communication, data collection, staffing coordination, family engagement, and organizational processes while ensuring accurate records and efficient office functioning. Essential Duties Key duties of this position include, but are not limited to, the following: Administrative Support Provide clerical and administrative support to the school leadership team. Perform data entry, filing, scheduling, document preparation, and record maintenance. Serve as the primary first point of contact for staff, families, and external stakeholders. Support front office operations and serve as a resource for staff, families, and visitors. Out-of-Program Tracking and Attendance Communicate with appropriate parties regarding student and program-related out-of-program occurrences. Maintain accurate records and documentation related to out-of-program activities. Ensure timely reporting and follow-up as required. Coordinate, maintain and follow-up on daily student attendance with classroom staff, teachers, and bus coordinators. Enroll new students in Google Accounts to ensure access to educational tools and resources. Data Collection and Regulatory Support Support the Director of Campus Crisis Support with data collection, record maintenance, and reporting activities. Assist with communication and documentation requirements related to the Justice Center and Continuous Quality Improvement (CQI) processes. Maintain organized records and ensure data accuracy. Staffing Support Assist the Administrative Coordinator and Assistant Principal with daily staffing coverage coordination as needed. Update coverage schedules and communicate assignments to staff as needed. Family Communication Prepare and distribute routine communications to families regarding schedules, reminders, school activities, and general information. Respond to inquiries and direct requests to appropriate personnel. Operational Support Assist with school events, meetings, and administrative projects. Support the Administrative Coordinator with routine office functions and special assignments. Maintain office supplies, records, and administrative resources as assigned.
