This role combines front-desk reception duties with vendor coordination, office supply management, light facilities support, and collaboration with the HR team on events and workplace culture initiatives. The ideal candidate takes pride in creating a welcoming, professional, and positive office environment every day. Key Responsibilities Reception & Guest Services Greet, welcome, and check in visitors, clients, and vendors in a friendly and professional manner Answer and direct incoming phone calls, respond to emails, and manage general inquiries Schedule meetings, maintain conference room calendars, and coordinate visitor access Handle incoming and outgoing mail, packages, and deliveries Vendor Coordination & Office Supplies Manage relationships with office supply vendors, cleaning services, maintenance providers, and other external partners Oversee office supply inventory, research products, place orders, negotiate pricing when possible, and ensure timely delivery and cost-effectiveness Coordinate service calls and scheduling with vendors for equipment repairs, facility maintenance, and other office needs Track vendor invoices, confirm deliveries, and resolve any discrepancies or issues Office Organization & Cleanliness Maintain the overall cleanliness and tidiness of the office, including common areas, kitchen/breakroom, and workstations Perform daily light cleaning tasks (dusting, wiping surfaces, restocking supplies, emptying trash, etc.) Organize storage areas, filing systems, and shared spaces for maximum efficiency Help maintain a safe and organized workspace for all employees HR & Culture Support Collaborate with members of the HR team to coordinate office events, team-building activities, holiday celebrations, and wellness initiatives Coordinate in office catering for clients and other events approved by the leadership team Contribute to creating a positive and engaging workplace culture through event planning and execution Support HR with ad-hoc administrative tasks related to employee engagement and office morale Administrative Support Assist with basic administrative tasks such as filing, data entry, and document preparation Support team members with ad-hoc requests and special projects Monitor office equipment (printers, copiers, etc.) and arrange maintenance/repairs Qualifications & Requirements High school diploma or equivalent (some college preferred) 1-2 years of experience in a receptionist, administrative, or office support role Experience coordinating with vendors and managing supply orders (preferred) Prior experience helping with office events or employee engagement activities (preferred) Strong organizational skills and attention to detail Professional appearance and excellent verbal/written communication skills Ability to work independently and take initiative Proficiency in Microsoft Office (Word, Outlook, Excel) Positive attitude and a strong sense of ownership over the office environment
Compensation & Benefits Base Salary:
