Job Description

This is a full-time, 30 hours/week position and is directly responsible to the program director. The Administrative Assistant provides critical support to implement and execute conservation programming for the Ashland Soil & Water Conservation District while working closely with other district staff. The administrative assistant will work with the program director to establish a regular work schedule, which can include 5 6-hour days or 4 7.5-hour days but must include Friday as a regular work day.
Essential Functions:
The Administrative Assistant works toward the following objectives in a professional manner: Provide administrative support to assist in achieving conservation goals: 30% Provide administrative support as needed to Ashland SWCD director including assistance with local and state record keeping and reporting requirements Ensure responsible stewardship of public funds entrusted to Ashland SWCD through accurate record keeping in QuickBooks, ensuring accurate collection of receipts and dispersements, reconciliation of the district's bulk mail account, sales tax tracking and payment, and reconciliation of online sales receipts. Assist in conducting efficient & effective board meetings for Ashland SWCD by providing timely reports and other requested information for monthly meetings. Maintain knowledge of current conservation topics, events and activities. Support exceptional staff performance and communication through staff meetings, accurate time keeping, and other administrative support as needed. Ensure sustainable stormwater management practices and programs for
Ashland County:
20% Lead district tree sale coordination, planning and implementation as a tool to encourage forest management as a stormwater control tool. Provide assistance to other agencies and committees as needed, including participation at local, area and state trainings and professional development events. Work with the district's Mohican Watershed Assistant to ensure proper processing and payment of cost-share projects to enhance riparian corridors by reducing stream bank erosion and flood risk. Ashland County Subdivision Regulations:
15% Efficiently and effectively conduct subdivision reviews for Ashland County, providing leadership and coordination of the Ashland County Subdivision Review Committee; serve as the primary point of contact for the Ashland County Tax Map office. Ensure proper preparation of all meeting materials for the Ashland County Planning Commission. Address water quality impairments while protecting and preserving high-quality water resources in
Ashland County:
15% In cooperation with the district director, take a leadership roll in watershed planning activities, with a special emphasis on the Jerome Fork and Black Fork watersheds. Identify and report baseline water quality data while working with Natural Resources Assistant to perform regular water quality testing assessments. Provide critical assistance and support to the district director to secure and administer outside funding sources for water quality projects where available. Assist Agricultural Conservation Specialist as needed in providing rapid, professional response and expertise when alerted to a pollution issue. Deliver exceptional educational outreach on conservation issues: 10% Serve as an agricultural and conservation leader and advocate in our community with a special emphasis on working with online district communications including our district webpage, email campaigns, a social media posts. Work with other district staff to provide hands-on education events to educate Ashland County residents about conservation practices and programs through mailings and outreach to clients both in-person and on the phone. Coordinate with the spring and fall fish-stocking sales. Provide administrative support to the district director in conducting an impactful and effective annual meeting and election in compliance with all state regulations. Ashland County:
10% Provide administrative and promotional support to education and on conservation programs. Assist as needed with district soil testing services and district equipment rental program including receipting payments and directing district customers to appropriate resources.. Participate in available training opportunities to enhance understanding and application of Ashland SWCD programming. Other duties as assigned. Minimum Qualifications Valid Ohio driver's license, including ability to safely drive during daylight and after dark. Employee must be insurable under the district's existing insurance policy. High school diploma required; associate or bachelor's degree in business, administration, and/or agriculture or equivalent combination of education and experience preferred Demonstrate regular, predictable attendance. Basic computer skills utilizing a Mac OS (or willingness to learn) and ability to learn additional programming as required; QuickBooks online experience is preferred. Software utilized includes iWork suite including Pages, Numbers, Keynote and QuickBooks online as well as Basecamp project management software Willingness to follow set procedures and standards of work/processes and follow directions Passion for and experience in agriculture and conservation fields is preferred but not required.. Compensation Ashland SWCD offers 12.5 paid holidays/year, sick leave, flex time, and Ohio Public Employees Retirement benefits. The district will pay for additional training specific to job description requirements. This position is eligible for county health insurance or an alternative insurance stipend. $15.00 - $17.00 per hour
