Job Description

General Description:
The Administrative Aide performs a variety of clerical tasks within the Finance Department. Assists the Director, Assistant Director and Finance Department Staff with various matters, including communicating with other departments, document preparation, filing deadlines, data-entry and problem solving. Co-ordinates or helps co-ordinate certain functions in the Finance Department. Uses independent judgement and initiative to determine the approach or action to take in non-routine situations when necessary.
ESSENTIAL DUTIES AND RESPONSIBILITIES
: Assists Director, Assistant Director and Finance Department Staff with routine and non-routine operations of department; maintains office forms and procedures in accordance with Charter, Ordinances and Ohio Revised Code. Assists on a variety of clerical matters when necessary. Prepares and makes deposits for all City money received including counting, balancing, preparing Pay-In Orders, preparing deposit slips, depositing into bank and following up on non-sufficient fund (NSF) checks and repayment of same. Assists Finance Department staff in preparation of checks, purchase orders, absence slips, payroll files, investment account postings, reconciliations and other general office functions as needed. Composes, types, and assists with correspondence, reports, etc. as needed. Prepares materials needed by the Director, Assistant Director and Finance Department Staff for appointments, meetings, telephone calls, etc.
DESIRED MINIMUM QUALIFICATIONS
: High school graduate or equivalent experience and/or related education and at least eighteen (18) years of age. One year of related office experience preferred. Training or experience with general office procedures such as typing, data entry, filing, accounting and basic bookkeeping. Basic knowledge of or training in relevant computer applications. Ability to understand, carry out, and deliver verbal and written directions pertaining to a job assignment
