Job Description

Looking for a highly skilled Project Administrator to add to our team Project Administrator is responsible for various administrative duties surrounding each project from setup to close out. This is an important position that contributes to both the Accounting Department & Project Management team. Responsibilities Assist in responding to customer phone calls/emails. Review contracts, coordinate contract execution, manage documentation & ensure accurate paperwork is submitted. Build and organize job files. Create submittal and closeout documents for submission to clients upon project completion. Provide administrative support for the project management team. Request project-specific insurance certificates and permits. Process monthly certified payroll reports.
A/R responsibilities include:
Timely billings per the contract terms and/or work completed, generally utilizing AIA Billing format as well as various online billing processes with detailed schedule of values for percentage complete and retainage tracking. Process and track change orders. Investigate & resolve any billing issues timely. Monitor collections and customer retainage. Assist in executing safety protocols. Qualifications • Experience in Construction Accounting environment minimum 3 years. Job Cost Accounting experience preferred. Must have strong people skills with good verbal and written communication while working in a team environment. Possess a high level of attention to detail with the ability to multitask and re-prioritize workload as needed .
Construction Industry Billing/Progress billing:
this includes AIA billing documents and creating SOVs (Schedule of Values) Familiarity with Lien waivers. Ability to work under pressure (deadlines) and manage a high-volume workload with accuracy. Computer savvy with working knowledge of Microsoft Office, Excel required. Familiarity desired with the following software, Procore, Textura, LCP Tracker, Punctual. Desire to grow and learn new skills.
