Administrative Assistant - Wealth Management American Financial Services - Boardman, Ohio American Financial Services is seeking an experienced, professional, and highly organized Administrative Assistant to join our growing wealth management team. This position is an important part of both our client experience and the day-to-day operation of our office. We are looking for someone who is dependable, detail-oriented, personable, and comfortable working in a professional financial services environment. Previous experience in financial services, wealth management, banking, insurance, or a professional office setting is strongly preferred. Responsibilities Answer incoming calls and assist clients in a professional and friendly manner Schedule and confirm client appointments Greet clients and help provide an exceptional in-office experience Prepare paperwork and materials for client meetings Assist advisors with daily administrative and organizational needs Process and track client paperwork, applications, transfers, and service requests Maintain accurate client files and records Scan, upload, organize, and securely maintain documents Communicate with investment, insurance, and financial institutions regarding client accounts and paperwork Monitor outstanding items and ensure timely follow-up Assist with incoming and outgoing correspondence Help coordinate office schedules, meetings, and special projects Work closely with advisors and other members of our financial planning team What We're Looking For The ideal candidate will be: Experienced in an administrative or client-service position Professional, polished, and comfortable interacting with clients Extremely organized with strong attention to detail Able to manage multiple responsibilities and priorities Dependable and able to work independently Comfortable learning new technology and financial industry systems An excellent written and verbal communicator Proficient with Microsoft Office, email, document management, and general office technology Able to handle confidential financial and personal information with discretion A team player with a positive, client-first attitude Preferred Experience Previous employment with a financial advisor, wealth management firm, bank, brokerage firm, CPA firm, or insurance agency Experience processing financial paperwork, account applications, transfers, or client service requests Experience working with financial custodians or investment companies Familiarity with CRM or financial-services software FINRA registrations or insurance licenses are a plus, but not required About the Opportunity This is more than a traditional receptionist position.
