Job Description
Administrative Assistant Part-Time for the Ohio Landscape Association We are searching for a part-time Administrative Assistant to join our growing team. The Administrative Assistant provides organizational and operational support to help the office work more efficiently, and to support our members. This person would help with the day-to-day administration, events, and membership activities. This includes events, communications, record keeping, meetings, membership, while serving as a professional contact for our members. We are looking for an individual who understands the value of belonging to a membership organization, likes interacting with people, who enjoys working with a team to get projects done, and learning how to do new things. 20 hours/week Key Responsibilities- Helps with event scheduling, meetings, registration lists, name badges, event details and execution, filing, and membership records and tasks.
- Coordinates office operations, projects, updating reports, and performs a variety of administrative functions.
- Answer and route phone calls, emails, and other inquiries promptly and professionally.
- Welcome members, answer their questions, create member packets for mailing, and process renewals.
- Prepare, format, proofread, and distribute correspondence, reports, presentations, agendas, and other documents.
- Coordinate and prepare items needed for meetings, logistics, and follow-up on item to do's.
- Maintain and update accurate electronic and physical filing systems, databases, contact lists, and records.
- Order and track office supplies and communicate with vendors.
- Assist with invoices, entering payments, and other tasks as assigned.
- Enter and update information in spreadsheets, Constant Contact, and MC Trade, our database system.
- Support events, special projects, and other event logistics.
- Occasionally attends day or evening events, up to a few/month.
- Handle sensitive and confidential information with discretion. Required Qualifications
- High school diploma.
- 2 + years of administrative, customer service, or office support experience in a professional environment.
- Strong written and communication skills.
- Strong proficiency with Microsoft Word, Excel, Outlook, Zoom, and Microsoft Teams.
- Excellent at organizing, strong attention to detail, and time-management skills.
- Ability to prioritize a variety of tasks and events simultaneously, meet deadlines, and works independently.
- Enjoys learning new things and takes initiative to solve problems.
- Adaptability to handle changing deadlines and logistics.
- Enjoys team collaboration, treats everyone with respect and fosters a positive work environment.
- Professional judgment, reliability, and respect for confidentiality.
- Reliable transportation. Preferred Qualifications
- Associate degree or additional training in business administration or office management.
- Experience supporting multiple team members.
- Experience improving administrative processes and efficiencies.
