Job Description

Administrative Assistant - Property Management We are seeking a highly organized, dependable Administrative Assistant to join our busy property management office. This position is ideal for someone who enjoys having a variety of responsibilities, can manage multiple priorities at once, and is comfortable working independently without needing constant direction. The right candidate will play an important role in keeping our office organized and ensuring communication and processes continue moving efficiently between our leasing coordinators, maintenance and repair staff, vendors, tenants, and management. Responsibilities Provide day-to-day administrative support for the property management office Answer and direct incoming phone calls and assist with general tenant and vendor inquiries Manage scheduling, appointments, and follow-up items Perform accurate data entry and maintain organized electronic and physical records Process bills, invoices, and routine accounts payable items Maintain and organize property, tenant, vendor, and office documentation Assist with correspondence, notices, reports, and other administrative paperwork Track outstanding items and follow through to ensure tasks are completed Help keep the leasing process moving by monitoring required paperwork, deadlines, and next steps Coordinate communication between leasing coordinators and maintenance/repair staff Communicate work orders, repair needs, scheduling information, and updates between departments Follow up with staff and vendors regarding incomplete or outstanding items Assist management with special projects and day-to-day operational needs Identify issues that need attention and take initiative to help resolve them Maintain confidentiality and professionalism when handling tenant, employee, and company information What We're Looking For We are looking for someone who is: Highly organized and detail-oriented Able to multitask and prioritize in a fast-paced environment Comfortable working independently and taking initiative Able to keep track of multiple projects, deadlines, and moving pieces at the same time Dependable and consistent with strong follow-through A clear and professional communicator Comfortable communicating with tenants, vendors, contractors, maintenance staff, and coworkers Able to recognize what needs to be done without always being told Comfortable with computers, email, data entry, scheduling, and general office software Able to remain organized and professional when the office is busy Someone who enjoys creating order and keeping processes moving Preferred Qualifications Previous administrative or office experience Property management, real estate, construction, maintenance, or related experience is a plus Experience with scheduling, invoicing, bill payment, data entry, or accounts payable is preferred Strong computer and organizational skills Excellent written and verbal communication skills About the Role This is not a position where every day will look exactly the same. Our office is busy, and priorities can change throughout the day. We need someone who can shift between answering a phone call, entering information, scheduling a repair, following up on an invoice, checking the status of a lease item, and communicating with staff—all while keeping track of what still needs to be completed. Compensation:
$21.00-$26.00 per hour, based on experience
