Job Description
We are looking for a detail-oriented Administrative Assistant to support a university office in Dayton, Ohio. This Long-term Contract position will serve as a welcoming first point of contact for students, faculty, and visitors while helping keep daily administrative operations organized and efficient. The role combines front-desk coordination, document handling, email management, and general office support in a busy academic environment.
Responsibilities:
Welcome students, faculty, and visitors to the office area and provide courteous front-desk assistance.
Respond to routine student inquiries and help coordinate completion of university-related forms and transcript requests.
Monitor and organize shared and individual email inboxes, ensuring messages are addressed or routed appropriately.
Prepare, revise, and format letters and other documents using Microsoft Word, including mail merge tasks when needed.
Maintain accurate office records through filing, scanning, and general document organization.
Support communication by handling inbound calls, responding to email correspondence, and directing questions to the appropriate contacts.
Assist with appointment scheduling and other administrative coordination to support day-to-day office activities.
Work closely with faculty and students to provide timely administrative support in a well-organized academic setting.
