Job Description

Overview We are seeking a reliable and detail-oriented Administrative Assistant to support our interpreter scheduling and client service operations. This position serves as one of the primary points of contact for clients and interpreters, assisting with incoming calls, scheduling support, interpreter communications, and administrative tasks. The ideal candidate is organized, professional, and comfortable working in a fast-paced environment where priorities can change throughout the day. Duties Answer and assist incoming client and interpreter phone calls. Assist clients with scheduling requests and general inquiries. Coordinate with interpreters via phone, text message, and email regarding assignment availability. Assist with filling open interpreter assignments under the direction of the Scheduling Supervisor. Enter, update, and maintain scheduling information in company databases and software systems. Track and document interpreter tardies, call-offs, and attendance issues. Maintain spreadsheets and other administrative records. Monitor email communications and route requests to the appropriate team members. Provide administrative support to scheduling and management staff. Perform other office and administrative duties as assigned. Skills Strong verbal and written communication skills. Excellent organizational and time-management abilities. Ability to multitask and prioritize competing responsibilities. Comfortable speaking with clients and interpreters by phone throughout the day. Proficient with Microsoft Excel, Outlook, and basic computer systems. Strong attention to detail and accuracy. Professional demeanor and customer-service mindset. Previous scheduling, dispatching, customer service, call center, or administrative experience preferred. Preferred Experience Medical scheduling experience. Staffing, dispatching, or workforce coordination experience. Experience working in healthcare, language services, or customer support environments. Bilingual skills are a plus but not required. We are looking for someone who is dependable, proactive, and enjoys staying busy. Successful candidates are comfortable communicating with a wide variety of people, keeping accurate records, and helping ensure that interpreter appointments are staffed efficiently and professionally.
Pay:
$16.00 - $20.00 per hour
