Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications Perform data entry tasks accurately, including updating records in QuickBooks and other office management software Support scheduling activities such as calendar management and appointment setting for staff and clients Handle clerical duties like proofreading documents, managing correspondence, and preparing reports Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial record keeping Manage office supplies inventory and coordinate procurement as needed to ensure smooth operations Experience Prior office management or administrative experience in a professional setting is required Demonstrated proficiency with computer literacy tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace Experience with QuickBooks or similar accounting software is highly desirable Strong organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent customer service skills with a friendly demeanor and strong phone etiquette Bilingual abilities are a plus to support diverse client interactions Previous experience as a dental or medical receptionist or personal assistant is advantageous but not mandatory Proven ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism Join us in creating an efficient, welcoming office environment where your skills make a real difference!
