Job Description
Position Summary:
The Administrative Assistant provides high-level administrative, organizational, and operational support to the Executive Director of the Fostoria Area Chamber of Commerce & Visitors Bureau, Fostoria Economic Development Corporation (FEDC), and Fostoria Learning Center. These closely partnered organizations drive economic development, business support, workforce training, tourism promotion, and community growth in the Fostoria area. This role serves as a key point of contact for members, partners, visitors, board members, and the public. The ideal candidate is highly organized, professional, discreet, and comfortable handling diverse responsibilities in a collaborative, multi-organization environment.Key Responsibilities:
1. Manage the Executive Director's calendar, schedule meetings, prepare agendas, take minutes, and handle correspondence and follow-up. 2. Provide front-desk and general office support: greet visitors, answer multi-line phones, route inquiries, and maintain a professional reception area. 3. Prepare reports, presentations, board packets, newsletters, and other documents; maintain organized digital and physical filing systems. 4. Support membership, events, and programs: assist with event logistics (registration, materials, setup/cleanup), membership communications, and visitor bureau inquiries. 5. Handle bookkeeping and administrative finance tasks (invoice processing, expense tracking, deposits) under direction of the Executive Director or designated staff. 6. Maintain databases, contact lists, and CRM/membership systems; update websites or social media as needed. 7. Coordinate with partner organizations, city officials, board members, and community stakeholders. 8. Assist with Learning Center room reservations, program support, and general operational needs of the shared facility. 9. Perform other duties as assigned to support the missions of the Chamber, FEDC, Visitors Bureau, and Learning Center.Qualifications:
- High school diploma or equivalent; associate degree or relevant coursework preferred.
- 2+ years of administrative, office management, or executive support experience (nonprofit, chamber, economic development, or similar preferred).
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with databases, email, and basic website/social tools.
- Excellent written and verbal communication skills, professional demeanor, and strong customer-service orientation.
- Ability to multitask, prioritize, maintain confidentiality, and work both independently and as part of a small collaborative team.
- Reliable, detail-oriented, and adaptable in a dynamic environment.
Personal Attributes:
- Experience with event coordination, membership organizations, or visitor/tourism services.
- Familiarity with QuickBooks or basic bookkeeping.
- Knowledge of the Fostoria/Seneca County area or prior community involvement.
Working Conditions:
- Primarily office-based at the Fostoria Learning Center with occasional evening or weekend hours for events or board meetings.
- Fast-paced environment supporting multiple related organizations under one roof.
