Job Description
Job Summary The Brown County Department of Job and Family Services is seeking a dynamic and highly organized Clerical Specialist to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functions through exceptional administrative support. Your energetic approach will help maintain efficient office management, handle client and team communications, and keep our records impeccable. If you thrive in a fast-paced environment, possess excellent computer skills, and enjoy providing outstanding customer service, this opportunity is perfect for you! Position Overview Greet clients and visitors into the agency, determine services needed, and assist with needs or direct to appropriate department for proper assistance when necessary. Provide further customer service to individuals visiting the agency while maintaining visitor daily logs and the assignment of visitor badges for identification purposes. Manage agency phone and voicemail system, which includes retrieving or transferring incoming calls and relaying urgent or emergency messages. Receive, scan, and distribute incoming mail, facsimiles, and other correspondence while maintaining logs of all information received. Operate postage machine and deliver mail to local post office as necessary. Utilize software systems, such as Ohio Benefits and EDMS, to provide clerical support to agency staff and clients. Establish transportation assistance for clients in need of vouchers or public transportation. Assist with other general clerical functions of agency. Minimum Qualifications High School Diploma or GED required Proven clerical experience in an office environment with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy across various platforms Excellent phone etiquette and communication skills Ability to handle confidential information discreetly and professionally Demonstrated time management skills with the ability to prioritize tasks effectively Familiarity with multi-line phone systems and filing procedures Must possess a valid driver's license and acceptable driving record Must be able to pass background check Benefits Competitive Health, Dental, Vision, and Life Insurance Ohio Public Employees Retirement System (OPERS) Deferred compensation plans available Paid Sick Leave Paid Vacation after 1 year of service Flexible work schedule Ability to earn overtime for compensation or accrual of comp time 11 paid Holidays per year Join us as a Clerical Specialist and become an integral part of a dedicated team committed to excellence!
