Join our growing Service Department as a Fleet Administrative Assistant supporting our fleet customers. This position plays an important role in keeping customer service operations organized, efficient, and responsive. The ideal candidate is organized, proactive, detail-oriented, and enjoys working in a fast-paced environment where every day brings new challenges.Key Responsibilities:
Provide daily administrative and customer support for key fleet accounts. Enter and maintain fleet service calls received from Fleet Providers and technicians. Prepare customer proposals and documentation as directed. Obtain and track purchase orders from fleet customers. Maintain professional and courteous communication with customers and technicians by phone, email, and other correspondence. Proactively anticipate customer and team needs to ensure a seamless customer experience. Review service work orders for accuracy and discrepancies prior to invoicing. Process daily fleet customer invoices through internal business systems as well as customer and manufacturer third-party systems. File, fax, and email invoices and supporting documentation as needed. Communicate with customers and internal departments to resolve billing or documentation issues. Assist the Service Department and other team members during periods of increased business volume. Perform additional administrative and support duties as assigned.What We're Looking For:
Strong organizational skills with excellent attention to detail. Ability to effectively manage multiple priorities and deadlines. Self-motivated, dependable, and proactive. Excellent written and verbal communication skills. Strong customer service mindset and professional phone/email etiquette. Ability to problem-solve, adapt to changing priorities, and work independently. Comfortable working in a fast-paced, team-oriented office environment. Proficient with Microsoft Outlook, Excel, Word, Teams, and PowerPoint. Experience with Salesforce or similar business software is a plus. High School Diploma or equivalent. Why Join Us?
